Executive Administrative Assistant

We are pleased to offer a new opportunity to join our growing Practice Support Center in Chicago, IL as an Executive Administrative Assistant to the Chief Operating Officer (COO). 


This individual will manage schedules, help with correspondence, and act as a liaison both in and out of the office. In order to fulfill these tasks successfully this individual must exhibit strong judgment, diplomacy, and discretion.


-Assist the COO in day to day activities including the coordination and management of meetings and schedules, email management and other general office duties

-Coordinate executive communications when necessary, including taking calls and interfacing with vendors

-Manage information flow in a timely and accurate manner

-Monitor expenses and prepare required expense reports

-Coordinate travel and accommodation arrangements

-Help to develop presentation materials
-Assist in the preparation, formatting and proof-reading of internal and external reports and documents

Minimum Education and Experience

-Bachelor’s degree preferred

-Eight + years of professional experience providing administrative support in a fast paced environment required, with experience providing executive level support

-Exceptional organizational and analytical skills

-Strong customer service orientation and skills

-Proficiency in working with information and technology systems

-Good problem solving and decision making skills

-Ability to work independently

-Strong written and verbal communication skills

-Demonstrated competence in assessing priorities and managing a variety of activities in a time-sensitive environment and meeting deadlines with attention to detail and quality

-Demonstrated ability to work as an effective team member in a complex and fast-paced environment

-Demonstrated maturity and judgment
